MUST HAVE

Clare: where drop down menus in database, should be drop downs in portal (MH): Major Group, County, State, Country

Search term in collector box -- "E. Yale Dawson" -- finds all records with collector terms that include "E. Yale Dawson" -- would get "E. Yale Dawson and C. Hoffman", would not get "Dale Dawson" (MH)

Clicking on a facet (e.g., "E. Yale Dawson") or clicking on a value in a dropdown search box returns only records with the exact match. (MH)

David: Date functions – Use calendar date value for sorting. (MH)

David/Dick: Change BerkeleyMapper config (MH)

Determination search (see conversation notes, below under 'Additional Notes...') – Easy solution/Step 1: Have it search like we intend to do for other fields, i.e., it should act as if there are quotes around entered terms and do a keyword search on the entire phrase... (MH)

Determination: Change label to 'Scientific Name' (MH) - Also, in CSpace itself, relabel Determination History box's 'Name' field as 'Scientific Name' (Rick to create JIRA)

Clare: Greece is missing in Country list. (MH) -- Rick replies that the standard display name is Ellas_, which is included in the list. Chris decides that we should display it as "Greece"_

Keyword search, such as Brazil 1971, should be AND not OR (MH) – This is a bug that John is working to fix.

Demote keyword search field to end… so it's not the first thing people enter (MH) -- UCJEPS staff will propose re-ordering of fields

Full resolution images served (MH) -- We must monitor the effect on server load. Possible fall back: display medium image? Note: Image display is still broken; John is working on it.

PDF icon displays rather than PDF itself - A CSpace bug? Investigate and fix (MH)

Exclude media that are checked "Do not post to public" (MH)

Link to CollectionSpace. (MH) -- For staff only? How to do that? Or, with accompanying text: "For registered users only." Link at least from detail page; preferably from list view, too.

Handle characters with accents/diacritics. (MH) -- Apparently, there's currently a problem with encoding that can be fixed.

Brent: Instructions for use. Make more in line with look and feel of UCJEPS web site. UCJEPS logo. Photos, maybe (MH) – Step 1: Use UCJEPS logo, their CCH Text; beyond that, UCJEPS to lead design process.

Limit results to 2000. Beyond that, direct user to UC/JEPS staff; link tbd (MH)

Chris: Other fields in detailed view: Last update date ... (MH)

Margriet: In full view, "No." should be "Collector No." (MH)

Chris: re: Views/Nav: List view ("short") and Detailed view ("v1") (MH)

David: Raise facet limit to 500 (MH) -- Request made elsewhere

Determination search (see conversation notes, below under 'Additional Notes...') – ...Next step: Search from beginning of string but allow wild card at beginning to facilitate species name searches (?) - still determining desired approach.

Clare: in facets, represent empty values for facets with no info in that facet. Need a way to find results that have no value in that facet, e.g., items from Peru that have no county listed (?) -- Check tech feasibility. If easy, change this to Must-have

Pagination: see Additional Notes, below (?) -- If easy, add, with limit of 2K results. Not highest priority.

Chris: Other fields in detailed view: ... Determination History: Other determinations; Type Assertions; Loan Number (for eLoans)

Margriet: ...Changing views shouldn't require re-completing search (?)

NICE TO HAVE

Shift+Click/Control+Click to select more than one value in a pulldown menu (NH) - Need to look into technical feasibility

David: Date functions – More sophisticated search, such as ranges or "before 1985" (NH) - doable; using string value for now.

eLoans: need to save searches in order to track, or otherwise add workflow to track. (NH)

Add Loan # field (NH)

Determination names without authors (NH)

Chris - re: Views/Nav: Additional view or views (for multiple specimens with images) with decent navigation (NH) -- very worried about complexity of navigation being offered.

Chris - re: Views/Nav: Grid view, as is: Align top, not bottom (NH)

Facets - sort by alpha and by frequency (NH) -- request made elsewhere

WON'T DO

Clare: Search multiple values in text match fields in one search via repeatable group rather than multiple search terms in one box (W) - Using an OR symbol (|) requires no layout changes.

Determination field - notes from conversation

Automatch - could match any word in term
David: start at Genus
Andrew: Plantlist.org is a good example of term completion. "Enter Genus or Genus and species" Does not invite you to enter a species only.
Margriet: Index Fungorum allows you to enter specific epithet (species) - fungi are harder to find by their genus, so this is helpful.
Resolution to be decided.

Umlauts appear incorrectly in CSpace

Clare: In CSpace, umlauts appear in entity format (e.g. '#235;') -- Rick to create JIRA

John: Pagination of results. Currently, short display returns 1000 rows, shows them all. Longer displays return 50. Could paginate. Would allow unlimited number of results. If select all checked, it could mean "all specimens get included" (i.e., in search done as part of download or ship to BerkeleyMapper, there would be no limit to results). BUT - there's a museum policy/practice reason for the limit - to drive people wanting many, many records to contact museum staff. Andrew: "We've been burned in the past. We want people to link to our database, rather than upload the set to their own site, because it changes so frequently."

Views/Nav

Chris: Seems odd to give user view choices; especially having short view and v1. More options requires increased documentation on screen.
Andrew: I like that - not showing empty fields.
John: view names could be:
• List or short
• Compact
• Full or complete
• Grid
