Intake Service Description and Assumptions

Description

The Intake Service facilitates the set of activities that results in the initial intake of items into the organization. These activities typically involve recording the circumstances of the intake, such as information about the donor, depositor, or lender; and may also include valuation estimates and insurance information, condition information, and the like. Often, receipts are generated for person(s) or organization(s) that provided the objects.

Intake (or "Object Entry") occurs prior to, and is a separate and distinctive procedure, from the creation of object records, and from the Acquisition of specific collection objects into the organization's collection(s).

During Intake, only brief descriptive notes about the items received are typically entered. The creation of object records is not part of the Intake procedure. However, in practice, some institutions will also create corresponding object record(s) at Intake time, or soon thereafter.

Assumptions

  • It is often the case that at least one object record is also created at the time of Intake. However, not all Intakes result in the creation of object records.
  • In some instances, depending on organizational practice, a LoanIn or Acquisition event could also potentially take place at the time of Intake.
