Vocabulary Inquiries for Release 1.7

Sample list of questions for functionality-based inquiries with CollectionSpace implementers:

  1. What types of vocabularies are currently in use in your institution?
  2. Who generally deals with vocabularies (use within records or managing vocabularies on the UI or back end)?
  3. Walk me through adding a vocabulary term to a record (e.g. an artist or culture)
  4. Walk me through adding a term from a pick list to a record
  5. How do you add a new term to a pick list or vocabulary?
  6. Who has access to the term records for pick lists and vocabularies?
  7. How are pick lists managed (e.g. adding a new one, removing, tying to fields)
  8. How are vocabularies managed?
  9. How do you see roles and permissions interacting w/vocabularies, both within and record and within the terms themselves?
  10. What types of searches do you perform within a vocabulary?
  11. What types of searches do you perform using vocabulary terms?
  12. Do you currently use a browse feature? If so, for what?
  13. How do you link to terms from outside sources?
  14. Do you need/would you like the ability to suggest terms to outside sources?
  15. What user interfaces are currently available - e.g. drop-downs, search boxes, predictive text interfaces, etc.
  16. Do you use default values?
  17. Do the terms in your pick lists or vocabularies lead to other behaviors? E.g. a deaccession object is not included in search, a status of publish posts an object to the Web.
  18. Do you maintain terms in languages other than English? If so, which? If not, do you have plans to do this in the future? If so, describe what you’re hoping to accomplish. Are terms held as equivalents, or is another approach used?
  19. Are there current vocab-related processes and workflows that just don’t work, or seem time consuming/confusing?
  20. What are the strengths of your current system? Where are your pain points?
  21. Can you send some screenshots of your interface?
