Right Sidebar
The right sidebar contains a snapshot of contextual information for a record. At the top of the sidebar are all reports available for that procedure. Below that is a thumbnail view of media related to a record. Below that is Terms Used, which includes a link to all authority terms used within a record. The Procedures and Cataloging lists include links to all related procedural (e.g. Intake, Acquisition, Loans Out) and Cataloging records. You may also create relationships between records via the right sidebar. The right sidebar will always contain contextual information for the record in the primary tab – in this case, Intake.
Running a Report
To run an existing report template on any procedure in CollectionSpace, click on the desired report in the “Run Report” dropdown at the top of the right sidebar, and click the “Run” button. Your browser will either display the report in a new window or tab, or prompt you to save the report as a file to your computer.
Terms Used and Related Records
In the Intake record above, there are two authority terms used: Christopher Lloyd and Museum of the Moving Image. Clicking on Christopher Lloyd or Museum of the Moving Image in the right sidebar will take you to the edit screens for those terms.
There are also two Cataloging records related to this Intake record. To add a new related Cataloging record, select the Add button at the top of the list of related records.
Selecting Add will bring up a dialogue box. In the dialogue box, enter your search term into the search box. When your search results appear, select the records you would like to relate using the checkboxes, and then choose Add to current record. If you leave the search box blank, all Cataloging records will appear in the search results. Records already related to your primary record are not selectable.
The record you selected will be added as a related record, and will be visible in the right sidebar.
Selecting the Show button in the cataloging tab will list the related records as search results.
