Data Cleanup to Automate for Entities (authorities)
- DISPLAY NAME: Many records have parentheticals after the authority name. See general notes for details. I'm uncertain as to whether MF wants to clean this up or move this data into another field.
- LAST NAME: Same as "Display name" -- see general notes for details.
- ID NUMBER: We should migrate this information to its own field in CS, but not make this field available for editing in the user interface, since the data in this field is artefactual. See general notes.
- SOURCE NOTES: This information can be moved automatically to "notes" when we migrate.
- Data in this field always begins with the word "Profession:" or "Organization:" followed by the profession/organizational affiliation of the individual.
- TITLE: This information can be moved to "Notes" automatically when we migrate.
- These are mostly job titles (eg "Senior Vice President," "Wardrobe Department," "Registrar," "Plus Toy Manager").
- LIFESPAN (Numeric Value):
- 29 records only have one date, which is not specified as birth or death date. However, all of these records have a status of 1 or 2 ("quick added" or "in progress"). Previously, some records with a status of "Complete" had this problem, but I've fixed them.
- Many records list only the birth date or the death date.
- In "LIFESPAN (NUMERIC VALUE)," these are automatically formatted as "born DDDD" or "died DDDD."
- In "LIFESPAN (TEXT FOR DISPLAY)," these are formatted as " - DDDD" or " - DDDD."
- In many records, especially those that do not have a status of "complete," only one of these values exists. In these cases, it would be preferable to generate the value for the missing field automatically from the value in the other field.
- 361 records have date ranges ending in 9999. We would like to automatically delete "9999" in each case and leave the date blank.
- All three above categories are listed in partial birth-death dates.xls.
- ADDRESSES/CONTACT INFORMATION
- Many donors appear with the incorrect addresses. It appears that, when moving data over from our Access database to OC, the donor addresses and contact information from access were all assigned to the incorrect donor records in OC. That is, accurate addresses from Access appear under the wrong names in OC. I have completed a walkover guide which lists all of the addresses in OC and Access. Addresses that appear under different names in both databases are listed first. To update the information on OC, take contact information that is listed in the Access record on the left (full information is available in the original Access donor database) and paste it into he OC or CS donor record of the individual listed in the right-hand column on the walkover.
- 384 entities have addresses. All are donors.
- 196 entities have contact info. All are donors and all are included in the set of 384 donors with addresses.
